ASAP Systems would like to demonstrate the many diverse ways that our software can be applied to any tracking need you may have. Here is our first installment of the ASAP Systems Success Story series.

    CHALLENGE:

A large consumer products company approached ASAP Systems and asked us to develop a tracking solution for their distribution center. There current system of tracking was the following. The Shipping & Receiving Clerk was issued a spreadsheet from accounting at the beginning of each shift with the list of all incoming and outgoing pallets of consumer goods. The clerk would walk aound with a clipboard and spreadsheet checking in pallets by marking an “X” in the “Received” column. During the distribution phase, the clerk would execute the same process for all goods shipped, mark the spreadsheet with an “X” in the “Shipped” column. At the end of each shift, the clerk would tally the quantity of goods shipped and received to generate a report for management. This process would take approximately 2 hours including double checking all shipping documentation.

    SOLUTION:

ASAP Systems delivered Passport Inventory to our customer along with Motorola MC9090 long range scanning mobile computers. This solution enabled the shipping & receiving clerk on each shift to upload the day’s receivables into the scanner and simply scan the barcode to automatically tally the pallets received. Then a barcode was generated using Passport Inventory to apply onto the pallets for distribution of the goods. The barcode was then scanned as it entered the truck and automatically tallied.Â

At the end of the shift, the Shipping & Receiving Clerk docked the scanner to upload all of the data into the system. Our software can transmit this data via 802.11 or cellular or any other system you may have. This customer did not have the infrastructure to support this function. A custom report was designed to produce an end of day tally of all pallets shipped and received. ASAP Systems report wizard enabled the management team to design any type of report they desired in under 5 minutes.Â

    RETURN ON INVESTMENT:

This complete turnkey solution for our customer’s distribution center has saved the company thousands of dollars in time, reduced errors, and increased accountability & control.Â

Money sitting on the shelves is not making you money.

The issue of inventory control, including calculating shipping costs, volume discounts, storage costs, and capital costs, is central to your survival in these trying economic times. You need to know how much money you can afford to have tied up in inventory.

Maintaining the right amount of inventory is a central issue for every business. Not enough or too much inventory both is harmful for your business. The cost of inventories is synchronized through inventory control. The problems in this area come from unsophisticated systems and lack of automation within the process.

A second issue is having the needed merchandise on hand in order to make sales during the appropriate buying season(s). One example might be a retail store in the pre‐Christmas season. If one does not have the items on the shelves, one will not make the sales. And the wholesale market is not perfect. There can considerable delays, particularly with the most popular items. So, the entrepreneur or business manager will buy on spec.   Another example is a furniture store. If there is a six week, or more, delay for customers to get merchandise, some sales will be lost. And yet another example is a restaurant, where a considerable percentage of the sales are the value‐added aspects of food preparation and presentation, and so it is rational to buy and store somewhat more to reduce the chances of running out of key ingredients. With all these examples, the situation often comes down to these two key questions: How confident are you that the merchandise will sell, and how much upside is there if it does?

Software automation will help you navigate these issues and make your inventory an asset for your company and not a liability that will put you out of business.Â
